A. General Rules (Applicable to All Participants)
- All participants and presenters are required to wear smart-casual or formal attire throughout the conference.
- Participants are expected to attend sessions punctually according to the official conference schedule.
- To be eligible for a Presenter Certificate, presenters must attend the conference from the Opening Session to the Closing Ceremony, including their assigned parallel session.
- The organizing committee reserves the right to verify attendance at any time during the conference for certificate eligibility.
- Participants must complete the official attendance report form as required by the organizing committee.
B. Online Conference Rules
B.1 General Rules (Online)
- Presenters must use the official virtual background provided by the committee.
- The camera must be turned on during the presentation session.
- Zoom display names must follow the format:ID_Track Number_Full Name
Example: 150_Track 1_Aziz Akbar - Participants are required to join the Zoom session on time and remain present throughout the session.
- Proof of online attendance must be provided in the form of a screenshot showing:
- Presentation slide and/or speaker
- Participant’s face
- Zoom display name
B.2 Presentation Rules (Online)
- Online parallel sessions will be led by a Session Chair, assisted by a Moderator and a Timekeeper.
- Presenters must join the Zoom meeting at least 10 minutes before the session begins and report their presence to the Session Chair.
- Each presenter is allocated 15 minutes, including presentation and Q&A.
- The Session Chair has full authority to interrupt or stop presentations that exceed the allotted time.
- All presentation materials, oral presentations, and Q&A sessions must be conducted in English.
B.3 Technical Guidelines (Online)
- The use of a laptop or desktop computer is strongly recommended.
- Presenters should ensure they are in a quiet and disturbance-free environment.
- Internet connection, audio, video, and Zoom functionality must be checked before the conference.
- A backup internet connection is highly recommended.
- A Practice Session on the Zoom platform will be provided upon request for presenters who require technical assistance.
B.4 Additional Rule for Online Presenters
- Online presenters who are unable to attend their scheduled presentation session are required to submit a pre-recorded video presentation.
- The video presentation must follow the official presentation duration, format, and technical guidelines determined by the organizing committee.
- The pre-recorded video must be submitted before the conference date, according to the deadline announced by the committee.
- Failure to attend the live session without submitting a video presentation will result in the presenter being considered absent and may affect certificate eligibility and publication consideration.
- Submission of a pre-recorded video does not automatically guarantee publication, as all manuscripts remain subject to the publisher’s peer-review and acceptance process.
C. Offline Conference Rules
C.1 General Rules (Offline)
- All onsite participants must register at the registration desk before entering the conference venue.
- Presenters are required to be present in the session room at least 10 minutes before their scheduled presentation.
- Participants must follow venue regulations and instructions from the organizing committee at all times.
- Mobile phones must be set to silent mode during conference sessions.
C.2 Presentation Rules (Offline)
- Offline parallel sessions will be led by a Session Chair, assisted by a Moderator and a Timekeeper.
- Each presenter is allocated 15 minutes, including presentation and Q&A.
- The Session Chair may interrupt or stop presentations that exceed the allotted time.
- Presentation slides, oral presentations, and Q&A sessions must be delivered in English.
- Presenters must upload or submit their presentation files to the committee before the session, as instructed.
C.3 Technical Guidelines (Offline)
- Presenters are advised to bring their presentation file in multiple formats (e.g., USB drive and personal laptop).
- Any technical issues must be reported immediately to the technical support staff.
- On-site presenters are expected to conduct a technical check before the session begins, if scheduled.
